Senior Business Assistant

Overview

Performs general administrative duties to support the Executive Vice President, CFO, Products & Innovation and Marketing & Communications and in addition will support three Senior Vice Presidents: CFO, Consumer Products and Processing, CFO, New Payments Platforms and Commercial Products, and CFO Digital, Labs and Acceptance. Handles day-to-day department operations in such areas as calendar management and meeting scheduling, telephone coverage, travel arrangements, expense reporting, file set-up and maintenance, copying, ordering departmental supplies, and maintaining department records.

Role

Prepare timely and accurate correspondence/memoranda; develop and produce reports, presentations or other assigned documentation as needed

Schedule and maintain daily calendar

Make travel arrangements, confirming visa and other travel requirements; prepare itineraries

Schedule meetings, arrange conferences and ensure all meeting support is appropriately coordinated

Maintain departmental files, information and records including the spearheading initiative of keeping all files digitally. Set up quarterly and annual departmental files as needed

Order and maintain office supplies for the department

Administer programs, projects or processes specific to the function and coordinate calendars as it relates to key meetings and the monitoring of departmental information such as time-off tracking

Serve as administrative liaison with others within and outside the company

Ensure compliance with all contract/PO/invoice processes and Mastercard policies such as T&E and Record Retention

Support operational activities of the department

Assist with compliance and e-filing requirements

Assist in special projects as required

All About You

High School diploma, college degree a plus

Demonstrated administrative experience in a corporate environment interfacing with senior and executive level management and customers

Strong interpersonal and organization skills

Excellent communication skills and ability to interact face-to-face with department members

Accuracy and attention to detail with the ability to multi-task

Proficiency with office applications such as MS Office and Outlook; Oracle required, PowerPoint a plus

Ability to function well in a busy and varied environment and work well under pressure
